The type of personal information we collect

We currently collect, process, and store information on computer systems, in accordance with the General Data Protection Regulations 2018 (GDPR). The information we collect is the following:

Contact details 

  • Full name of parent/career
  • Email address
  • Telephone numbers (mobile/emergency contact)
  • Postal address

Student information

  • Full name of student
  • Date of birth (for safeguarding children, examinations/class award entries, and other legal requirements)
  • Any relevant medical information where applicable (to ensure safe practice when teaching)

Optional information

  • Such as previous dance history, examination board pin numbers already in use by students, voluntary feedback)
  • We also may collect information when you voluntarily provide feedback and interact on our social media sites

How we store your personal information

We are committed to ensuring that the data we hold from you is kept safe and secure and as such we have put into place appropriate physical and electronic procedures to safeguard your information.

You are entitled to view, amend or delete the personal information that we hold by contacting us at any point. We will take reasonable steps to ensure that the personal data we store is accurate, complete, and up-to-date. 

We keep your personal information for as long as you or your child are a student of be.ballet.creative. We will securely dispose of your personal information after 12 months of leaving be.ballet.creative, unless you request for this information to be disposed before this time period has elapsed.

Please help us to keep your information up to date by letting us know if you change address, phone number, email or other information that is relevant. We do not sell your personal information and we do not share your information with other organisations for marketing purposes.  

Why we collect data

We collect, use and store personal information only as necessary, for legitimate interests and to comply with legal obligations.

Legitimate interests

  • The running of be.ballet.creative and the provision of services, including lesson and exam planning, registers, invoicing, and to monitor the quality of our service.
  • Communication of information to teachers in order for them to carry out their roles, including in respect of safeguarding and child protection (e.g. emergency contacts and medical history for health and safety)
  • Communications to examination boards in order to enter students (names and dates of birth)
  • Where you have agreed for us to contact you about events, products/services and/or news (e.g. contact details to communicate be.ballet.creative news and information).
  • Where you have provided your consent for be.ballet.creative to carry out activities for quality monitoring, marketing, publicity, (including on our website and social media pages), for fundraising or other purposes, to help be.ballet.creative and its students achieve their goals, including photography and videography of students. 

Legal obligations

  • Compliance with legal and regulatory requirements and related disclosures e.g. work with children and vulnerable groups, HMRC, etc.
  • Exercising your rights under data protection law and making rights’ requests
  • Verifying your identity under data protection law, other legal and regulatory requirements and related disclosures
  • The establishment and defence of legal claims and rights

Sharing your data

We will only share personal information with another organisation if we:

  • Have a safeguarding concern – this is a legal requirement
  • Are required to by government bodies or law enforcement agencies
  • Need to pass on unpaid fees to a debt collection agency
  • Have obtained your prior permission – such as, for example, for entry forms for examinations and class awards.
